What personal data we collect and why we collect it


When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.


If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

We encourage you to use the Contact Form provided; the information is sent to a central account and then forwarded to the Board Member who is best authorized to address your questions or concerns. As we are all business owners & managers as well as volunteers, we ask for your patience. We do our best to respond to you within 3 business days.


If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

Absolutely no one. We only use it to build better content for you to use on this site.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

You will not be contacted for anything other than the information you requested. Please note that we will NEVER send you a friend request on social media. There have been a lot of scams run using popular social media accounts so please be wary. If you receive suspicious looking messages, please advise us through our Contact Form.

How we protect your data

We don’t collect any data specific to you. Any contact we have with you stays between you and the individual with which you are interacting.

What data breach procedures we have in place

In the unlikely event where there is an unauthorized or accidental alteration of personal data, the following actions should be taken: (1) containment & recovery, (2) assessing the risk, and (3) evaluation & response. The immediate priority is to contain the breach and limit its scope and impact. Where personal data has been seen, accessed or been sent to someone who does not have a legitimate need to see it, we will advise you of the situation. Where data has been lost, altered or has become unavailable, then access to the data should be resumed as quickly as possible via backup copies of the data if necessary.

What third parties we receive data from

We use Google development tools, i.e., Google Maps, to improve the functionality of this site. WordPress authorized developer tools, plug-ins and apps are also installed. None of these collect or use your data.

What automated decision making and/or profiling we do with user data

We get general overviews of traffic and website use through Google Analytics. No personal data is collected without your full awareness (i.e., subscription to a newsletter).
